Send an RFQ to at least three approved vendors and follow up every two days. When quotes return, normalise them into a comparison table on a like-for-like basis, calling out differences in scope, warranty, lead time and payment terms — and state explicitly where a comparison is not truly like-for-like. Verify each vendor’s insurance and certifications are current. Present the comparison with your read on the trade-offs. Do not negotiate, do not indicate any preference to vendors, do not award anything.
